BUILDING CONSULTANCY

General repairs and maintenance are usually arranged through our Facilities Team but inevitably in the life cycle of a property, major works projects can be required.

Our in house Building Surveyors can assist you with technical advice on alterations, right through to tendering and project managing full refurbishment schemes.

LEASE ADVISORY

Our colleagues in Lease Advisory can deal with all landlord and tenant matters so when the time comes for a lease renewal or a rent review, they have the skills to assist you. The team has a vast wealth of experience and can also offer advice on complex lease restructuring and dispute resolution.

BUSINESS RATES

Operational costs need to be controlled and we can identify opportunities to reduce or avoidBusiness Rates liabilities. Our rating specialists have experience across all property sectors and amongst other services; they can provide expertise in dealing with advice on empty property relief and appeals against rateable values.

Property Management Finance

RENT COLLECTION

We will deal with all aspects of rent collection for your property including VAT, service charge, insurance and utility recoveries. Our team has over 20 years of expertise in credit control and can quickly call upon other services in order to deal with all debt collection and negotiate payment plans where necessary.

The world of commercial debt collection changed in 2014 with the abolishment of ‘Distress laws’ and the introduction of ‘CRAR’ (Commercial Rent Arrears Recovery). Many feared at the time that this would greatly affect the Landlords ability to recover rent arrears however at Roger Hannah  we have worked closely with a national debt collection firm in order to make this transition easier with little impact on our clients. We believe in acting quickly and have a process set up that works and gets results.

SERVICE CHARGE RECOVERY

We monitor all expenditure closely and always seek to find the best value for our clients whether that be through our approved contractors or utility providers. We believe that this is key to maintaining a healthy Landlord and Tenant relationship and provide good value for tenants also through the charging of Service charges.

Our Property Management software is one of the leaders in the market and this combined with our experienced finance team means we are able to produce service charge budgets tailored around each individual property and client in line with the RICS code.

We ensure that Tenants are invoiced accurately in line with the terms of their lease and that our clients are able to make full recovery of their expenditure where possible. We are able to monitor budgets throughout the year and identify any over or under recoveries in advance of carrying out the full end of year reconciliation and certification process.

INVOICING AND REPORTING

Our experienced finance team work closely with the Property Managers to ensure that Tenants are invoiced all Rent and services in accordance with the terms of their lease. They also work with our facilities team when it comes to re-charging utility costs whether that be electric, gas or water in order to make sure of accurate recovery. Profit and Loss reports are produced on a regular basis to monitor both expenditure and recovery.

We normally report and account to our clients on a monthly basis and we are able to tailor our reporting around individual client’s needs.

PURCHASE LEDGER

Our dedicated purchase ledger team are focused on making sure that all expenditure invoices received are accurate and authorised before any payment is made. There is a strict process in place to ensure that invoices are correct and paid in accordance with the relevant payment terms.

FACILITIES MANAGEMENT

HEALTH & SAFETY

We are at the forefront of H&S matters in the property surveying sector.  Our proactive approach to Health & Safety provides peace of mind to our clients and to the occupiers in the buildings we manage.

Our team of Facilities Management staff have a wealth of experience in dealing with Health & Safety matters and the associated legislation. We can advise on Landlord’s Health & Safety responsibilities and ensure that all our managed properties are compliant with the current legislation.

This may include advice on:

  • Fire Risk Assessment
  • Legionella Risk Assessment
  • Lifting Operations & Lifting Equipment Regulations

INSURANCE

We have longstanding relationships with insurers within the industry and our brokers can provide competitive insurance premiums, ensuring that your property is adequately insured.

We will liaise with insurers on your behalf, regarding any claims and we also arrange all insurance warranties and vacant property inspections, in order to comply with insurers requirements.

MAINTENANCE & REPAIRS

Over many years we have built strong relationships with tried, tested and trusted contractors, who can be called upon quickly to deal with any repairs.  In relation to this we have a dedicated ‘out of hours repairs hotline’ to enable an efficient service to be provided, in the event of any issues arising at properties that we manage, 24 hours a day.

The contractors are accredited to and comply with a robust Health & Safety vetting procedure, and as standard they are asked to provide task-specific risk assessments and method statements, in relation to all applicable hazardous maintenance and repair tasks.

Our Facilities Management Team are also trained to ensure maintenance responsibilities between Landlord and Tenants are properly discharged. This team also deals with the routine testing of all types of key equipment found within properties, ensuring compliance with legislation and that best practice is delivered.

Our Building Consultancy Team can also advise on preventative maintenance programs and coordinate refurbishment works.

UTILITIES

Our facilities team can ensure that all utility contracts are set up for Landlord’s supplies at competitive rates.

Where tenants are reliant upon a Landlord’s supply for their utilities, we will ensure that the meters are regularly read and that the relevant consumption is recharged to the occupiers.

We store data on all utility meters, ensuring that when a property becomes vacant the necessary change of tenancy application takes place and a contract is promptly set up to minimise deemed rates.
